Policies & Information

Rates:

  • All rates are quoted PER PERSON PER DAY.
  • Occupancy (number of people per room) is dependent upon your group's size.
  • Rates include three meals per day, bed linens, and towels.
  • Reservations must be for a minimum of two days. One day reservations will be solely at our discretion.
  • All bills are payable no later than check out. The group leader is responsible for collecting all monies relating to accommodations and meals. We require one check for payment.

Deposit Policy:

  • When you make your reservation, a deposit of $200 per building is due within 14 days to secure your date.
  • An additional deposit which equals 50% of the minimum guarantee is due no later than 90 days prior to your conference date.
  • For example, you are staying in the Inn for two nights with a rate of $69 per person per night: 2 x $69 = $138. You then take your per person rate for the retreat and multiply it times your minimum guarantee for the Inn (each building has a different minimum guarantee). In the Inn it would be $138 x 35 = $4830. Half of this amount is $2415. This is your additional deposit due 90 days prior to your conference date.

Refund Policy:

  • If you cancel at least 90 days prior to your scheduled arrival date, we will refund your entire deposit minus a $50 processing fee.
  • If you cancel between 89 and 60 days prior to your scheduled arrival date, we will refund 50% of your deposit.
  • If you cancel less than 60 days prior to your arrival, you will lose your entire deposit and be responsible for the minimum amount for the building canceled.
  • If, however, we can re-book the date at the full rate, we will refund your entire deposit, minus a $50 processing fee.
  • ALSO NOTE: If two or more buildings are reserved and you decide you will not need all of them, you will lose the deposit on the unused building subject to the above conditions.

Attendance Guarantee:

  • So we can prepare adequately for your arrival, you must indicate the number of people you guarantee will be at your conference.
  • You must inform us of this guaranteed number at least five (5) business days prior to your arrival. Our office hours are Monday - Friday, 9 am - 5 pm.

Damage Deposit:

  • All winter groups will be asked for a $100 damage deposit check when you arrive.
  • It will be held and returned within 10 days after your conference is complete if there are no damages or unpaid charges.

Check In / Check Out Time:

  • Check in is 4:00 pm.
  • Check out is normally 10:00 am preceding your lunch on the day of departure. We reserve the right to ask your group to vacate their guest rooms earlier than the stated check-out time so that our housekeeping staff can clean the bedrooms for another group arriving that same day.
  • If other arrangements are necessary, please contact the office prior to your visit.

Standing Reservations:

  • In order to maintain your standing dates, we require that you officially re-book the date from year to year, otherwise we will assume that you are forfeiting your date.
  • Re-booking procedures include a $200 per building deposit within 14 days of your departure and a completed confirmation form.
  • Sometimes due to the change of dates for certain holidays and other special events we cannot guarantee the exact dates the following year for your group. We will try our best to work with you to find a satisfactory alternative.

Telephone Access:

  • Our switchboard number is 828-963-4453.
  • Callers trying to reach a group during non-office hours will have the option of ringing a building directly or leaving a message on our voice mail.
  • In the event of an emergency, the home number for the manager on duty is given on our voice mail.

Meal Times:

  • Breakfast: 8:00 am.
  • Lunch: Noon.
  • Supper: 6:00 pm (except on night of arrival when it is usually 6:30 pm)
  • It is your group's responsibility to be on time for meals. We cannot hold meals beyond a reasonable time. Please be courteous to our kitchen staff by promptly busing your dishes after eating and not lingering at your tables beyond a reasonable time. Please inform the kitchen if for some reason your group (or any part of your group) will not be eating a meal in order not to waste food or employee time.
  • We will provide bag lunches for you to take off the site provided this has been arranged with the office prior to your arrival (see meal count instructions on the confirmation form).
  • If you've ordered bag lunches and at the last minute someone decides not to leave the site, his/her meal will still be a bag lunch.

Absolutely No Animals.

By order of the Watauga County Fire Marshall and for your safety there is absolutely No Smoking inside any of our buildings!

Please do not move mattresses or furniture between buildings or rooms.
